Invoices and payments correlated against PSA contracts and ticket activity. The first billing adapter — opens the billing pillar of the unified workspace.

What Vectis syncs

The read side of the adapter. Pulled on a schedule and available everywhere the customer account surface lives.

  • Customers — QuickBooks customers mapped to the same Vectis customer row as your PSA
  • Invoices with total, balance, status, due date, and line-item currency
  • Payments with invoice settlements (one row per payment / invoice touch)
  • Credit memos with balance + applied state
  • Webhook-driven state changes on invoice and payment updates (reduces poll traffic)

Read-only today

This adapter pulls data into Vectis but doesn’t write back into QuickBooks Online. Rules can still react to the synced data — for example, a Pax8 subscription change can open a ConnectWise ticket or a HaloPSA action. The write-back lands in the PSA, not in QuickBooks Online.

How it correlates

Service delivered, invoice never sent

A cross-engine rule joins tickets resolved in-period against invoices issued in-period, per customer. A customer with a non-trivial ticket count and zero invoices in the same window fires a margin-leak alert — the most expensive billing miss MSPs routinely make.

Invoiced MRR vs contracted MRR

The customer hub shows each account's invoiced-this-month total against its contracted monthly value. Drift flags up immediately rather than waiting for the quarter-end reconciliation.

Past-due posture per account

Overdue invoices feed into the account health score. A customer slipping on invoices AND spiking tickets simultaneously is the renewal-risk signal the CSM board should see without leaving Vectis.

What connecting looks like.

Click Connect QuickBooks in Vectis admin; you'll be redirected to Intuit to pick the realm (company) and authorize the scope. Phase 65 ships sandbox-first — connect a sandbox realm and confirm the sync before pointing production credentials at your live company. Intuit refresh tokens expire after 100 days; Vectis warns at 14 + 3 days and requires a one-click reconnect before the cutoff. Webhooks are optional but recommended: register the Vectis webhook endpoint in the Intuit developer app and paste the verifier token into Vectis to authenticate incoming deliveries.
